When you synchronize SharePoint content, Applaud automatically scans supported files for malware. Malware scanning helps prevent unsafe files from being added to your knowledge base or becoming available through knowledge search and the AI Assistant.
How malware scanning works
Malware scanning runs automatically whenever content is synchronized from a connected SharePoint site.
During synchronization, Applaud:
- Retrieves supported content from the connected SharePoint site.
- Scans each supported file for malware.
- Continues processing files that pass the scan.
- Excludes files that fail the scan.
You don't need to start malware scanning separately.
Scan results
Clean files
Files that pass the malware scan continue through synchronization and become available after synchronization and indexing are complete.
Blocked files
Files that fail the malware scan aren't synchronized.
Blocked files:
- Aren't added to the knowledge base.
- Don't appear in knowledge search.
- Aren't used by the AI Assistant.
The original file remains unchanged in SharePoint.
If a document is missing
If a document is available in SharePoint but doesn't appear in Applaud:
- Verify that the SharePoint site synchronized successfully.
- Confirm that the document is stored in a connected SharePoint site.
- Check whether the document was excluded during malware scanning.
- Clean or replace the file in SharePoint.
- Run another synchronization.

Microsoft security
Malware scanning in Applaud provides an additional validation step during synchronization. It doesn't replace your organization's Microsoft security controls, such as Microsoft Defender for SharePoint, Microsoft Defender for OneDrive, or other Microsoft 365 security and compliance policies.
