The SharePoint knowledge connector synchronizes supported content from connected SharePoint sites into your Applaud knowledge base. Synchronization runs in the background, so you can continue working while Applaud processes your content.
Synchronization process
During synchronization, the SharePoint connector:
- Retrieves supported content from each connected SharePoint site.
- Creates new knowledge from new content and updates existing synchronized content.
- Records metadata, including:
- File name
- SharePoint URL
- File type
- Last modified date
- Generates additional content, such as file previews and AI-generated summaries, where supported.
- Updates the knowledge base so the latest content is available to Knowledge Management and the AI Assistant.
When synchronization occurs
Synchronization starts automatically when you save changes after connecting or updating SharePoint sites.
You can also start a synchronization at any time by selecting Sync now from the SharePoint connector.
Because synchronization runs in the background, you don't need to wait for it to finish. The SharePoint connector displays the synchronization status for each connected site.
How changes are synchronized
During each synchronization, Applaud checks connected SharePoint sites for changes.

| Is new | Creates new knowledge. |
| Has changed | Updates the existing synchronized content. |
| Hasn't changed | Makes no changes, avoiding duplicate content. |
Preserved settings
Synchronization updates SharePoint content without overwriting settings you manage in Applaud. The following settings are preserved:
- Knowledge inclusion status
- Country tags
- Manager-only access settings
This lets you continue managing knowledge in Applaud while keeping synchronized SharePoint content up to date.
