After you connect SharePoint to Applaud, the AI Assistant can use synchronized SharePoint content to answer employee questions alongside your other connected knowledge sources. When a response includes information from SharePoint, the AI Assistant cites the original document so employees can review it in context.
How content becomes available
Before the AI Assistant can use SharePoint content, Applaud:
- Synchronizes supported content from your connected SharePoint sites.
- Processes and indexes the content for search and retrieval.
- Makes the indexed content available to Knowledge Management and the AI Assistant.
Updates made in SharePoint become available after the next successful synchronization.
For more information, see How SharePoint synchronization works.
How the AI Assistant answers questions
When an employee asks a question, the AI Assistant:
- Searches your available knowledge sources.
- Identifies the most relevant content.
- Generates a response based on that content.
- Displays a citation when SharePoint content is used.
If relevant information isn't available in SharePoint, the AI Assistant can continue searching other connected knowledge sources or follow your configured fallback behavior.
Access and citations
Employees can discover synchronized SharePoint content through AI Assistant conversations and knowledge search.
When the AI Assistant uses SharePoint content in a response, it includes a citation to the original document so employees can verify the information and open the source when needed.
The AI Assistant only uses content that's available according to your SharePoint and Applaud knowledge configuration.
Keeping content up to date
Applaud synchronizes connected SharePoint sites according to your configured synchronization schedule. After each successful synchronization, updated SharePoint content becomes available for future AI Assistant responses.
