In Applaud, every knowledge article goes through a simple but powerful lifecycle: write, review, and approve. This helps ensure your content stays accurate, easy to understand, and genuinely useful to employees. Here’s an overview of the steps and settings that help you manage that process smoothly.

From the burger menu, open the My Knowledge page to view your in-progress and archived articles. From here, you can also:
Article content settings
When you create an article, it’s automatically assigned a set of content settings that help define how it’s managed and displayed. These settings control things like:
- Which category it belongs to.
- Who can view or edit it.
- Whether it needs revalidation or translation.
You can customize most of these, helping you keep content structured and relevant throughout its lifecycle.
Reviewing Articles
After you create an article, you must submit it for review. The assigned approver ensures the content is accurate, clear, and ready to publish.
As a reviewer, complete the following tasks:
- Check for clarity – is it easy to follow and logically structured?
- Verify accuracy – does it reflect current policies and guidance?
- Give constructive feedback – add return comments to suggest edits if needed.
- Approve or return – if it’s ready, approve it. If not, return it with clear comments for improvement.
Scorecards
Use the Scorecard feature to evaluate articles against defined quality and compliance criteria. This helps maintain a consistent standard across all published content. See our knowledge base article, About scorecards.
Approving Articles
Approval is the final step before an article goes live.
When you approve an article, you're confirming:
- It’s accurate and aligned with your guidelines
- It serves a clear purpose and is ready for employees to use
- It’s well-written, easy to understand, and free of errors
