By managing content settings effectively, you ensure articles are well-organized, displayed at the right time, and tailored to the appropriate audience. These settings help maintain a clean and efficient knowledge base, improving user experience and content lifecycle management. You can update most content settings to reflect changes in content, audience, or visibility.
You can change some of these settings but not all. Settings you can change include Category, Visibility start date, Expiration date, Use criteria to limit this content to a particular audience, Attachments, and Manager-exclusive content.
Article ID | Every article is assigned a unique identifier to help you organize, search, and manage articles efficiently. It is particularly useful for version control and quick referencing. |
Category | Categories group articles into logical sections based on topics or themes, making it easier for users to navigate the knowledge base and find relevant information. |
Editing status | This indicates the current stage of the article's workflow, such as 'Draft,' 'Returned for Edits,' or 'Approved.' The status helps track progress and ensures proper content creation and review. |
Publication status | This determines whether an article is visible to end-users. Articles can either be 'Published' or 'Unpublished,' allowing you to control when content is accessible. |
Visibility start date | This specifies the exact date when an article will become visible to users. Use this to plan content launches or ensure information is displayed only when relevant. |
Expiration date | Set a date when the article will automatically become unavailable to users. This helps you manage outdated content, and knowledge owners receive reminders to review articles one month before expiration. |
Featured image |
Upload an image to visually highlight the article in journeys, making it stand out for users. |
Use criteria to limit this content to a particular audience | You can control who can access specific articles by enabling the Use Criteria to Limit Content option. When selected, additional settings appear that let you define audience criteria. |
Countries | Choose specific countries to restrict access to the content. If left blank, the content will remain globally visible. |
Manager-exclusive content |
Makes the content accessible only to users with managerial roles. |
Attachments | Add supporting files, such as PDFs, to provide additional resources or detailed information alongside the article. |
