Update an existing report when you need to change its configuration, access settings, or storage folder. Editing a report updates the report definition used for future runs.
Before you begin
You must have permission to manage the report:
- Personal reports can be edited by the report owner.
- Shared reports can be edited by users with the Report Creator, Tenant admin, or Experience Designer role.
Note: Standard reports are read-only. To modify a standard report, select Save as to create a copy, then edit the copy.
Edit a report
- From Applaud admin, select Reporting.
- In the Report library, locate the report you want to edit.
- Select the Menu icon, then select Edit report.
- In Report builder, update the report as needed. You can:
- Change the Name or Description.
- Add, remove, or reorder data fields.
- Update grouping, calculations, sorting, filters, or parameters.
- Change the Access type between Personal and Shared.
- Select a different storage folder.
- (Optional) Select Live preview to verify the results.
- Select Update report.
The updated report definition is saved in the Report library and used the next time the report runs.
Note: Editing a report changes the report definition for future runs. Previous report runs aren't changed and remain available in Report runs.
Important:
- Don't apply role-based access to a Personal report.
- Don't save a Personal report to a shared folder or a Shared report to a personal folder.
Change report access
Change a report's access settings to share it with specific users or roles.
- From Applaud admin, select Reporting.
- In the Report library, locate the report.
- Select the Menu icon, then select Edit report.
- Set Access type to Shared.
- Under Visible to roles, select one or more roles.
- Under Additional users, search for and select the users who need access.
- Select Update report.
Important: Sharing a report controls who can access the report. It doesn't grant access to additional business data. Report results always respect each user's reporting permissions. For more information, see How reporting permissions work.
