After you create and test a SuccessFactors tool, activate it and attach it to the Applaud experiences where it should be available.
A saved tool isn't automatically available to an assistant or workflow. The tool must be Active and attached before it can run.
Activate a tool
- Open Agent Tools.
- Open the SuccessFactors tool you want to make available.
- Set the tool to Active.
- Save the tool.
Note: Inactive tools remain hidden from agents and workflow searches.
Attach a tool
After activating the tool, attach it to the experiences that should be able to use it.
The available options are:
Agents
Attach the tool to an employee or manager assistant.
The assistant can then use the tool when a person's request matches the tool's purpose.
Case agents or sessions
Attach the tool when case AI needs access to SuccessFactors data during a case conversation.
This lets case AI use the same SuccessFactors capability without creating a separate tool.
Workflows
Add the tool to a workflow using:
- Agent node for attended interactions.
- Run Tool node for unattended runs.
Choose where a tool should be available
Only attach a tool where it is needed.
For example:
- A Look up my job details tool could be attached to an employee assistant.
- A Look up team members tool could be available to a manager assistant.
- A tool used to provide employee information during case handling could be attached to case AI.
- A tool that retrieves SuccessFactors data as part of an automated process could be added to a workflow.
Consider the tool's purpose and risk when deciding where to make it available.
Check that the tool is available
After activating and attaching the tool:
- Open the assistant, case session, or workflow where you attached it.
- Run a request that should use the tool.
- Check that the tool runs and displays its configured activity message.
- For guided requests, confirm that the complete interaction works as expected.
For example, if you attached a Look up job details tool to an employee assistant, ask:
βWhat's my job title and department?β
The assistant should use the SuccessFactors tool and return the configured response.
If the assistant doesn't use the tool
If a tool isn't being used, check:
- The tool is Active.
- The tool is attached to the correct assistant, case session, or workflow.
- The tool description clearly explains when it should be used.
- The request matches the purpose of the tool.
- The tool passed its test.
