Prepare your Microsoft Entra ID and Microsoft 365 tenant before connecting the Outlook channel in Applaud.
Completing these checks helps ensure that administrator consent and mailbox configuration complete successfully. Applaud provides the Microsoft application required for the connection, so you don't need to create an application registration, client secret, certificate, or OAuth redirect URI.
Before you begin
Make sure that:
- Your Applaud subscription includes the Outlook channel.
- You're signed in to Applaud with one of the following roles:
- Tenant admin
- Product admin
- Experience designer
- A Microsoft 365 or Microsoft Entra administrator is available to grant administrator consent.
- Your browser allows pop-ups for Applaud.
- The Outlook mailboxes you plan to connect already exist in Exchange Online.
- Employees who will use the Outlook channel have active Applaud accounts that match their work email addresses.
Understand administrator responsibilities
| Role | Responsibility |
| Applaud administrator | Starts the Outlook connection, configures the Outlook channel, and manages connected shared mailboxes. |
| Microsoft 365 or Microsoft Entra administrator | Grants administrator consent during the initial connection. |
If your organization requires approval before applications can access Microsoft 365 resources, complete any internal approval processes before you begin.
What happens after administrator consent?
Granting administrator consent allows Applaud to connect securely to your Microsoft 365 tenant through Microsoft Graph.
Administrator consent doesn't automatically monitor every mailbox in your organization. After the connection is complete, you choose which shared mailboxes to connect to the Outlook channel.
You can add, remove, or replace connected shared mailboxes at any time without granting administrator consent again.

Prepare your Microsoft 365 environment
Before connecting the Outlook channel, verify the following.
Step 1: Confirm your mailboxes are ready
Create any mailboxes that you plan to connect before starting the setup.
Supported mailbox types include:
- User mailboxes
- Shared mailboxes

Step 2: Confirm administrator consent requirements
Make sure that a Microsoft administrator can grant administrator consent for the Applaud application.
If your organization restricts application consent, complete any required approval processes before starting the connection.
Step 3: Verify Conditional Access and multifactor authentication
If your organization uses Conditional Access policies or multifactor authentication (MFA), make sure the Microsoft administrator can complete all required sign-in and verification steps during setup.
Incomplete authentication can prevent the Outlook channel from connecting successfully.
Step 4: Verify employee accounts
Before enabling the Outlook channel, confirm that employees:
- Have active Applaud accounts.
- Use the same work email address in Applaud and Microsoft 365.
