This article describes the permissions, subscription quotas, and operational limits that apply to the Outlook channel.
| Category | Includes |
| Permissions | Applaud requirements and Microsoft Graph permissions required to connect the Outlook channel. |
| Subscription quotas | Availability of the Outlook channel and the number of mailboxes you can connect. |
| Operational limits | AI reply limits, attachment limits, message size limits, and conversation requirements. |
Permissions
Before you can connect the Outlook channel, your organization must meet both the Applaud requirements and the Microsoft 365 permission requirements.
Applaud requirements
To connect the Outlook channel:
- Your Applaud subscription must include the Outlook channel.
- You must have permission to manage channels in Applaud.
- A Microsoft 365 or Microsoft Entra administrator must grant administrator consent during setup.
If your subscription doesn't include the Outlook channel, you can't connect Microsoft 365 or manage shared mailboxes.
Microsoft Graph permissions
During setup, a Microsoft 365 or Microsoft Entra administrator grants the Microsoft Graph permissions required by Applaud.
| Permission | Purpose |
| Mail.Read | Reads messages from connected shared mailboxes so the AI Assistant can process employee requests. |
| Mail.Send | Sends AI Assistant replies from connected shared mailboxes. |
| User.Read.All | Finds user, shared, and Microsoft 365 group mailboxes during setup. |
| MailboxSettings.Read | Identifies mailbox types. |
| Files.Read.All | Reads supported OneDrive files attached to email messages. |
| Sites.Read.All | Accesses supported SharePoint and OneDrive content referenced in email messages. |
Subscription quotas
Your Applaud subscription determines how you can use the Outlook channel.
| Quota | Description |
| Outlook channel | Determines whether the Outlook channel is available for your tenant. |
| Connected mailboxes | Limits the number of shared and user mailboxes that can be connected at one time. |
Each connected mailbox counts toward your mailbox limit. If you reach your limit, remove an unused mailbox or upgrade your subscription before connecting another mailbox.
Operational limits
The Outlook channel applies operational limits to help ensure reliable and secure AI responses.
AI reply limits
To help prevent automated reply loops, the AI Assistant sends up to 30 replies per sender per hour.
Attachment limits
The Outlook channel supports up to 10 attachments per email.
| Attachment type | Maximum size |
| Images | 20 MB |
| Documents | 50 MB |
| Audio | 50 MB |
| Video | 200 MB |
| Archives | 50 MB |
| Creative files | 25 MB |
| Other supported files | 25 MB |
The Outlook channel doesn't process:
- Password-protected or encrypted files.
- Unsafe or unsupported file types.
- Signature images, logos, and email tracking pixels.
If one or more attachments can't be processed, the AI Assistant still responds and identifies any skipped files when appropriate.
Message size limit
After email formatting is converted for AI processing, the message body can't exceed 50,000 characters.
Conversation requirements
For the AI Assistant to respond to an email:
- The sender must be an active Applaud user with a matching work email address.
- The connected shared mailbox must appear in the To field.
- The conversation must follow the supported one-to-one conversation model.
