When you create a new journey, start by identifying the event or moment it supports, such as onboarding a new employee or guiding a performance review. Understanding the purpose helps you choose the right settings and structure, which you can update later if needed.
Team
The Journey Team comprises everyone involved in the process, typically including the employee, their manager, a buddy or peer advisor, and occasionally HR or a journey administrator. Each participant is responsible for different tasks that help the Journey move forward.
Clearly defining who’s involved and what they do helps ensure accountability and keeps the experience running smoothly. For example, a manager might need to introduce a new hire to the team, while a buddy checks in during the first week.
Stages and content
Journeys are composed of time-based stages, such as preboarding, Week 1, or the first 90 days. Each stage contains content and tasks to help participants complete key actions, such as attending meetings or completing training.
Hero content
This is the visual banner at the top of each stage. It typically includes an image and short, impactful messaging that explains the purpose of the stage. It helps orient the user and set the tone.

Activities: Tasks & Notifications
Journey activities keep everything moving by assigning tasks and sending notifications to the right participants at the right time.
Task types
- Mark as complete – A basic task with a “Mark as complete” button. For example, “Introduce new hire to the team.”
- Assign an individual to a role – Used to manually assign someone to a journey role, such as a buddy.
- Task with custom completion logic – The system automatically completes the task when a separate condition is met, for example, after required training is finished.
- Custom task – Requires the user to complete a specific task, such as filling out a form.
Notifications
Notifications alert participants about upcoming or overdue tasks. They keep everyone aligned and informed, helping the Journey stay on track.
Quick links
Quick links provide shortcuts to essential tools, forms, and resources throughout the Journey. These links reduce friction by providing users with easy access to what they need, such as HR documents or training materials, without requiring them to navigate away from the current page.
Settings
Journey settings define the name, description, and enrolment rules for the Journey. Use these settings to:
- Name the Journey for future reference.
- Add a short description explaining the purpose.
- Set automatic enrolment and eligibility criteria to assign journeys to the right people at the right time.
