Use folders in the Report library to organize related reports and make them easier to find. When you create or edit a report, you select a storage folder for the report.
Before you begin
- To create or manage shared folders, you must have the Report Creator role.
About report folders
Folders organize reports in the Report library.
- Personal reports must be stored in a personal folder.
- Shared reports must be stored in a shared folder.
Note: A Personal report can't be saved to a shared folder, and a Shared report can't be saved to a personal folder. If you can't save a report, check that the report's access type matches the folder type.
Create a folder
- From Applaud admin, select Reporting.
- In the Report library, open the folder area for personal or shared reports.
- Select Create folder.
- Enter a folder name.
- Select Save.
Select a folder when creating a report
- From Applaud admin, select Reporting.
- Select Create report.
- In Report builder, configure the report.
- Choose whether the report is Personal or Shared.
- Select a storage folder that matches the report access type.
- Select Create report.
The report is added to All reports and the folder you selected.
Move a report to a different folder
- From Applaud admin, select Reporting.
- In the Report library, locate the report.
- Select the Menu icon, then select Edit report.
- Select a different storage folder that matches the report access type.
- Select Update report.
Note: Moving a report changes where it's stored in the Report library. It doesn't change the report's fields, filters, or previous report runs.
Folder organization best practices
- Use clear folder names that reflect the team, process, or reporting purpose.
- Keep personal working reports in personal folders and team reports in shared folders.
- Avoid mixing unrelated reports in the same shared folder.
- Review shared folder contents regularly so users can find the reports they need.
