Two-factor authentication, also sometimes referred to as 2FA, is an optional security feature that helps protect your account whenever you sign in from a web browser, even if your password is stolen or cracked. This feature improves security because signing in requires two things. Something you know, your password, and something you have, your phone. With two-factor authentication, you'll get a short numeric code on your phone. You enter this in addition to your username and password when you sign in.
2FA works with single sign-on. After you sign in to your Applaud tenant with SSO, you need to enter your 2FA code.
Once you turn on this feature, the next time your users sign in, they'll be asked to set up two-factor authentication, and they won't be able to progress until they've set it up.
After a user has set this up, Applaud sends them a text message with a code they must enter each time they sign in.
Tip
When using the mobile app, you can quickly enter the code since it appears from your message above your keyboard.
Important
After you enter your first 6-digit code, you are shown your one-time backup code. You MUST note this somewhere because you will need it if you ever lose your phone. Applaud won't show you your backup code again, and your Administrator won't be able to get this for you either. If you have the Tenant admin role, you can change your own phone number and see your own backup code from your User definition page by selecting 2-STEP VERIFICATION, but you can't do this for any other user. Users without the Tenant admin role won't be able to access this at all.
If you don't receive your 6-digit code when signing in, you can select Didn't get a code?
You can either get Applaud to resend you the code or select to enter the one-time backup code you were shown when you first set up your 2FA.
Important
Once you have entered your one-time backup code and selected NEXT, you are shown a new one-time backup code. You MUST note this new backup code in place of the one you just entered because the code you entered won't work anymore, and you need to keep this code safe in case you need it again.
If you don't have access to your phone and you don't have your one-time backup code, you need to contact Applaud support, who can retrieve this for you.
