Tools allow the assistant to retrieve information, complete tasks, and escalate requests.
Tool availability depends on:
- Enabled platform features
- Whether a workflow is currently running
- Tools configured and assigned by an administrator
Built-in tools
Built-in tools are capabilities already available on the platform. They support standard assistant behavior and do not require additional setup in the database.
They are different from configurable tools such as Query Workday or Query Applaud Data. Those are defined by your organization and added per agent, based on your configuration.
| Knowledge base search | Searches your organization’s approved knowledge articles and documents to ground responses and provide sources. |
| Give feedback | Lets users rate or comment on a response (for example, thumbs up or down with a reason) so you can measure quality. |
| Classify response | Tags the type of interaction using your organization’s categories. This supports analytics and reporting and is not shown as a visible step in the conversation. |
| Update user memory | Stores a small set of user-provided details (such as preferred name or location) for future conversations, based on your organization’s rules. |
| List attachments | Lists files that have been uploaded in the current conversation. |
| Read attachment | Opens and uses the contents of an attachment when the file is supported by the system. |
| Search attachment | Searches within large or complex attachments to find relevant information. Attachment-related tools appear only when files are present in the conversation. |
Tools available to configure
Query Workday
Query Workday is a connection between your AI assistant and Workday. It allows the assistant to retrieve current information directly from Workday, based on what your organization has configured and permitted.
What you can do with it
Use Query Workday to answer questions that depend on live HR or organizational data. For example, the assistant can:
- Look up job details, teams, or reporting structures
- Find location or organizational information
- Retrieve other approved Workday data
The assistant only accesses the specific queries and data your administrators have enabled.
Query Applaud Data
Query Applaud Data is a connection between your AI assistant and your Applaud environment. It lets the assistant retrieve information from Applaud through approved API calls.
What you can do with it
Use Query Applaud Data when answers depend on data stored or managed in Applaud. For example, the assistant can:
- Retrieve data from Applaud apps or workflows
- Access information from integrated systems connected through Applaud
- Return results from configured API endpoints
What the assistant can access depends on how each connection is set up.
