By default, users can edit their own profile photos.
If you manage profile photos in another system and import them into Applaud, you may want to prevent users from changing their photos. In this case, you can disable profile photo editing.
You can also configure a model workflow to update users’ profile photos automatically. See our knowledge base article, Create a workflow.
Best practices
- Maintain consistency: If your organization uses photos across multiple systems (for example, HR or directory tools), manage them centrally to ensure they stay consistent.
- Use high-quality images: Encourage users (or provide admins) to upload clear, professional-quality photos that are easy to recognize.
- Automate updates: Where possible, use workflows or integrations to keep photos updated without relying on manual changes.
- Respect privacy: Inform users if their profile photos are managed centrally so they understand why editing is disabled.
- Review permissions: Restrict photo editing for users if you want to maintain brand or compliance standards.
