Prerequisites
The article lifecycle in Applaud involves creating, reviewing, and editing knowledge articles to ensure they meet your organization’s standards and provide clear, actionable content. Here’s an overview of the steps and settings you’ll need to manage.
Writing Articles
The My knowledge page is where knowledge owners and managers can manually write articles or generate and outline them using AI. You can also view your in-progress articles and view archived articles.
Article content settings
Content settings provide you with control over the categorization, management, and accessibility of your articles. These settings help you organize and maintain your content effectively throughout its lifecycle. When you create an article, it is automatically assigned a set of content settings, many of which can be customized to meet your needs.
Reviewing Articles
After you write an article, you must submit it to an approver for review and approval to ensure it meets quality standards. The reviewer must check the content for clarity, ensuring it is easy to understand and follows a logical structure. Verify its accuracy to confirm the information aligns with organizational guidelines. Provide constructive feedback using return comments to suggest improvements and highlight areas for revision. If the article meets all requirements, approve it for publication. Otherwise, return it for edits with comments.
Scorecards
To maintain high standards, you can use the Scorecard feature to evaluate the article’s overall quality and compliance. See our knowledge base article, About scorecards.
Approving Articles
Approving articles is a step in the content lifecycle that ensures you publish only accurate, precise, and high-quality information for users. This process involves reviewing the content to confirm it aligns with organizational guidelines, meets the intended purpose, and is ready for public visibility. Approval signifies that you have thoroughly vetted the article, it is free of errors, and it delivers value to its audience. By maintaining a consistent approval process, you help uphold the integrity and reliability of the knowledge base, creating a trusted resource for users.
